What Is Traceability? What separates documentation you can defend from documentation you can only hope is right
About TraceabilitySuppose our organization makes commercial 3D printers. We publish their technical documentation to an online portal and to help panels on the printers’ touchscreen, and an AI assistant answers customer questions from the same content. The cleaning procedure for one of those printers includes a warning (displayed in all three channels) to disconnect power before opening the housing. Several people and documents stand behind that one sentence. Engineers identified a shock hazard inside the housing and documented its severity in a risk assessment. Safety testing confirmed the hazard, the printer's safety certification made a warning mandatory, and an engineering and legal review approved the wording. If the warning is traceable, anyone on the team can find those records and see who approved every later change and why. Now suppose a writer edits the warning and logs the change as “Updated per SME feedback.” That note records the fact that the warning was edited, but it does not document who requested the change or whether an engineer and a representative of the legal team approved the new wording. When the certification comes up for renewal, the team may have to prove the warning still complies. The note, itself, offers no evidence either way. Why Tech Writers Need To Understand Traceability |
